Job Summary:  

The Administrative Assistant will assist with the support of daily operations and facility needs at our corporate headquarters while maintaining a professional and welcoming reception area. 

 

Supervisory Responsibilities: 

  • This position has no supervisory responsibilities. 

 

Duties/Responsibilities: 

 

  • Serve as the primary point of contact for visitors, employees, vendors, and customers, providing professional front-desk and reception support. 

  • Support daily office operations, facility needs, and building services by coordinating with vendors, property management, and internal stakeholders.  

  • Manage conference room scheduling, meeting logistics, and catering arrangements.  

  • Coordinate mail, package distribution, shipping services, and general office logistics.  

  • Maintain office and Collaboration Café inventory, including supplies, refreshments, and workplace essentials.  

  • Assist with onboarding, intern programs, employee events, and other company-sponsored activities.  

  • Support emergency preparedness and workplace safety initiatives.  

  • Maintain organizational charts, perform data entry and record updates, and provide general administrative support.  

  • Plan and coordinate meetings, team events, and special projects assigned. 

  • Perform other duties as assigned. 

 

Required Skills/Abilities:  

  • Strong customer service and interpersonal skills. 

  • Excellent verbal and written communication skills.  

  • Strong organizational and time management skills.  

 

Education and Experience: 

  • High School degree required. Associate degree preferred. 

  • 3 years of experience in administrative roles. 

  • Experience coordinating meetings, events, catering, and office logistics. 

  • Familiarity with shipping platforms (FedEx/UPS) and visitor management systems. 

  • Knowledge of Microsoft Office (Word, Excel, and PowerPoint) required.
